IGNOU Galaxy — Student Operations & Fulfillment Platform
In plain English
A behind-the-scenes operations system that replaced WhatsApp chats and scattered cloud folders, so students automatically get the right study materials once they've paid.
For the technical reader: An internal operations hub and order fulfillment platform that automated course-code resource routing and digital asset delivery for thousands of students.
Business Context
The situation
IGNOU Galaxy serves tens of thousands of distance-learning students across India navigating university programs — delivering solved assignments, study guides, project reports, and academic counseling. As student enrollments surged, operations were bogged down by manual WhatsApp coordination, payment verification over chat, and manually retrieving files from scattered cloud drives.
The hidden cost
- Operations staff spent hours every day cross-referencing course codes (e.g., MEG-01, BESC-131, MCO-03) across spreadsheets
- Manual screenshot-based payment verification caused fulfillment delays during peak deadline weeks
- Digital assignment files sent manually over chat led to frequent version mismatches and student confusion
- Zero unified audit trail of which student purchased which semester guides, leading to duplicate support requests
The Problem
What actually had to be solved
Build a high-velocity internal operations platform and automated fulfillment pipeline that centralizes incoming student orders, automatically maps complex program and course codes to the correct digital assets, verifies payments, and dispatches secure download access without manual intervention.
Why the existing approach failed
Generic e-commerce and helpdesk tools do not understand the nuanced hierarchy of university programs, session validity cycles (e.g., 2025-26 submissions), semester bundles, and instant verified file dispatch. Off-the-shelf systems would have required dozens of fragile plugins with high recurring software fees.
Constraints
- 500+ active course codes with multiple session iterations and language editions (Hindi/English)
- Extreme traffic surges during assignment submission deadlines (10x normal order volume)
- Time-expiring secure download access to protect intellectual property from unauthorized redistribution
- Intuitive, distraction-free workflow for internal support operators handling hundreds of daily inquiries
Before → After
How the workflow changed
Before
- Student sends order via WhatsApp
- Operator verifies payment screenshot
- Search drive for course code
prone to session mismatch
- Manually share download link in chat
- Log order row in shared sheet
frequent sync errors
After
- Student places order on web platform
- Internal engine validates payment webhook
- Course codes resolved to asset vault
- Expiring signed download URLs generated
- Instant WhatsApp & Email dispatch
- Operator dashboard updates live analytics
Architecture
How the system is built
Designed and engineered a centralized internal operations console paired with an automated digital fulfillment backend. Developed an intelligent course-code indexing engine that maps messy student inputs and degree programs directly to verified PDF repositories, coupled with secure token-gated links and real-time operator management.

AI vs. Engineering
Where AI helps — and where it doesn't
AI Layer
Intelligent subject code normalization and query resolution: handles common student typos, colloquial course abbreviations, and semester ambiguity without halting fulfillment pipelines.
Engineering Layer
Operator dashboard with real-time order feeds, role-based access control, automated signed URL generation with expiration timestamps, rate-limiting to prevent bulk scraping, and transactional order status reconciliation.
Engineering Decisions
The hard calls, with their tradeoffs
Decision 01
Custom operations tool vs. commercial EdTech CRM
Choice — Build a tailored internal operations suite specifically for distance-learning workflows.
Why — Distance university programs have unique session cycles, multi-course bundles, and localized payment rails that standard off-the-shelf CRMs could not handle without severe friction.
Tradeoff — Requires owning codebase maintenance in exchange for zero per-seat SaaS costs and exact operational fit.
Decision 02
Expiring signed asset URLs with rate limiting
Choice — Deliver academic files via dynamic time-limited tokens rather than static public links.
Why — Prevents solved assignment links from being shared on public student Telegram/WhatsApp groups.
Tradeoff — Added signing logic to the download router in exchange for robust digital asset security.
Decision 03
Course code fuzzy matching & normalization
Choice — Implement automated resolution for common variations in subject codes.
Why — Students frequently enter variations like 'meg1' vs 'MEG-01' or 'bca 3rd sem'. Normalization removes manual lookup delays.
Tradeoff — Maintains a course mapping dictionary in exchange for 90% fewer operator clarification steps.
Cost & Reliability
Built to run, not just to work
Cost strategy
Stateless API and serverless asset distribution mean operating costs stay low during lulls and scale smoothly during examination submission rushes without paying for idle multi-server clusters.
Reliability
Critical order operations are guarded by database transactions. Webhooks from payment gateways are idempotent, preventing duplicate fulfillment on retries. Download tokens are signed with cryptographic HMACs.
Security
Strict role-based authentication for operators, encrypted student record storage, rate-limited download endpoints, and zero public directory indexing of the asset vault.

Lessons & what we'd do next
Lessons
- Understanding the exact domain taxonomy (programs, semesters, session years) early on made fulfillment automation trivial.
- Giving operators a fast, responsive UI with search-first navigation dramatically boosted team morale and throughput.
Risks
- Frequent university curriculum and session code updates require rapid catalog synchronization.
- WhatsApp API provider rate limits during peak submission days require proactive message queuing.
Improve next
- Introduce automated syllabus change alerts by scraping official university portal notices.
- Implement an automated AI doubt-clearing assistant for common distance education procedural FAQs.
